The short version
- Your books are yours. We don't sell them, share them or advertise against them.
- The pictures the Copilot takes of your offers stay on your phone. They are deleted every day.
- There are no advertising or tracking cookies, and no analytics.
- You can download what you logged, and you can delete your account yourself, in Settings.
Who we are
TrueEarn is a small independent product run from the United Kingdom. For anything about your data, write to support@trueearn.co.uk. A person reads it.
What we hold on our server
- Your account: your email address and a one-way scrambled version of your password. We can't read the password, so we can never tell you what it is — only let you reset it.
- Your books: the earnings, expenses, miles and hours you record, your settings, and the receipt photos and weekly invoices you upload.
- Receipt photos: a photo is sent to our server and read there, without being sent to an external receipt-reading service. It stays attached to that expense until you delete it.
- Your licence: the code, the email you paid with, the date it ends, and — for each device using the code — a number that identifies the device and when it last checked in.
- Your free days: the date they started, kept against that device number for the Copilot and against your account for the Books, so the free days cannot start twice.
What stays on your phone
The Copilot uses the Android accessibility permission to read the offer on your screen in the driver apps it supports, and works out your figure per hour. It saves a picture of the offer and what it read. Those stay on the phone. The pictures and the detailed record are wiped every day at 4am; a short line for each offer (fare, distance, time and the result) stays on the phone until you clear it in Setup. They are never uploaded. They only leave the phone if you tap "Share the day's report" yourself, and then they go where you choose to send them.
The app does not ask for your location, so it cannot know where you are or where you drove.
Two things reach us from the app: the device number, with your licence code if you have one, so we can count your free days and check the licence; and a request to this site asking whether there is a newer version. The device number is a scrambled form of the ID Android gives this app on this device. It is not your phone number, your IMEI or your advertising ID.
Payments
If you buy inside the Android app, the payment is taken by Google Play. Google handles your payment details and tells us only that the purchase is valid, which plan it was and an order reference.
On this website, payments are taken by Stripe. Your card details go to Stripe and never reach our server; we never see or store your card number. Stripe tells us that the payment went through, the email you gave and a payment reference, and that is what we keep with your licence.
Emails
We email you your licence code, a reminder before it ends, and the messages you ask for, such as a password reset. They are sent through our email provider, Hostinger. We do not send marketing email.
Cookies
One cookie keeps you signed in to the Books, for up to 30 days. Your light or dark setting is saved in your own browser. That is all.
Where it lives
On our own server in Nuremberg, Germany, rented from Hetzner, over an encrypted connection (HTTPS). A backup copy is made every day and kept on that same server. An encrypted backup copy is also stored with Backblaze in Amsterdam, the Netherlands. The key needed to decrypt it is kept separately, away from our server. Like any web server, it records the internet address of each request; those records are kept for 14 days and are used only to keep the service running and safe.
Who else handles it
Five companies, each only for its own job: Hetzner hosts the server, Backblaze stores our encrypted backup copies, Google Play and Stripe take payments, and Hostinger sends our email. We do not sell or share your data with anyone else, and we would only hand anything over if the law required it.
How long we keep it
For as long as you have an account. Tax records are worth keeping for years, so we don't delete things behind your back. If you delete your account — in Settings, or by asking us — we delete your books and your receipt photos straight away; the daily backups are overwritten within 30 days. Before some maintenance work we also keep a manual copy of the database; these do not have a fixed end date yet, and we are setting one. Records of payments are kept as business records for as long as the law requires.
Your rights
Under UK data protection law you can ask for a copy of your data, ask us to correct it, ask us to delete it, or object to how we use it. You can also complain to the Information Commissioner's Office (ico.org.uk).
To take your data with you: the Download backup now button in Settings gives you your earnings and expenses, and the accountant pack in Reports adds your receipt photos and invoices. For a complete copy of everything we hold, email us.
